What does the Studio Planning & Resourcing Manager do at WPP Production?

The Studio Planning & Resourcing Manager is the operational backbone of WPP Production's North American studio. This role ensures the right talent is in the right place at the right time - managing resource scheduling across multiple teams, offices, and disciplines while keeping the studio running smoothly day-to-day. From onboarding freelancers and managing suite assignments to curating internal communications and supporting senior leadership, this person is a critical connector across people, process, and production. We are looking for a freelancer to join our team starting ASAP. 

Key Responsibilities

  • Schedule and assign studio resources across all NA teams, including edit and audio suites in the NY location and virtual collaboration rooms, based on in-person sessions and project requirements
  • Source and resource freelancers across all post-production disciplines, offices, and regions, including availability outreach and coordination with regional hubs as needed
  • Provide financial justifications for freelancer usage and input timesheets as required
  • Lead vendor and freelancer onboarding, and maintain strong working relationships with all staff and freelancers across NA
  • Develop and maintain a thorough understanding of the skillsets of all staff and freelancers, keeping department reels, rates, contact details, and addresses current and accurate
  • Manage a high-volume communications cadence, including two daily stand-ups, and email correspondence
  • Liase with the Experience Associate and Facilities Director to coordinate the NY guest sheet, lunch/coffee orders, client call rooms, and other logistics
  • Establish, maintain, and enforce operational workflows to ensure studio efficiency and effectiveness
  • Train resource coordinators and incoming staff on scheduling systems and processes
  • Compile a monthly list of aired projects for the Managing Director and curate and distribute the monthly internal newsletter
  • Support the Managing Director, EP, and department leads of WPP Production

 

Requirements

  • Prior experience in a production, post-production, or studio operations environment
  • Demonstrated experience across scheduling, finance, timesheet management, and billing systems
  • Experience sourcing and managing freelancers across multiple disciplines and locations
  • Strong understanding of post-production workflows and talent skillsets
  • Exceptional organisational and multitasking skills- able to manage competing priorities across teams and time zones
  • Strong interpersonal and relationship-building skills across all levels of staff and external partners
  • Clear and professional written and verbal communication
  • Ability to work in a fast-paced, high-volume environment with shifting priorities
  • A proactive, solutions-oriented mindset with strong attention to detail
  • Experience creating or managing internal newsletters or studio communications
  • Prior experience training or mentoring coordination staff
  • Familiarity with WPP or agency production environments

The base salary for this position at the time of this posting may range from $21.63 an hour to $48 an hour.
