About the Role

We are looking for a Project Executive – B.E.L (Brand, Engagement & Loyalty team) to keep creative work moving smoothly from brief to delivery. Working alongside the Project Manager and creative leads, you will own straightforward jobs end-to-end — from brief intake and job creation through production tracking, approvals, and final delivery — and support the Project Manager on complex or high-stakes projects. You will coordinate with Retail & Performance Marketing, Cross-Sell, Go-To-Market, Brand, and Social teams, as well as external creative agencies and offshore production partners.

You'll also be a hands-on user of AI-driven tools, supporting the team's adoption of automation in content production, workflow tracking, and campaign reporting as our AI practices develop. The ideal candidate is organised, proactive, and eager to learn — someone who thrives on keeping many moving parts in order in a fast-paced marketing environment.

Key Responsibilities

Brief Intake & Job Setup

  • Review and clarify incoming briefs for completeness, feasibility, and scope before production begins.
  • Create and maintain job entries in the Creative WIP Tracker (Notion), including job numbering, resource assignment, timelines, and deliverables.
  • Prepare and send kickoff briefings to designers and stakeholders, arranging live briefings for complex jobs.
  • Coordinate offshore production jobs, including briefing and file handover, with guidance from creative leads on in-house vs offshore routing.

Project & Workflow Coordination

  • Own straightforward jobs end-to-end; support the Project Manager on complex or high-visibility projects.
  • Track production across multiple platforms and formats, following up with designers ahead of deadlines.
  • Route drafts through review cycles, consolidate and chase stakeholder feedback, and maintain version control.
  • Flag timeline risks and scope changes early, and escalate to the Project Manager or creative leads with options.
  • Help maintain brand consistency by running quality checks and flagging inconsistencies to creative leads.
  • Ensure final assets meet specs, are delivered to requestors, archived correctly in SharePoint, and closed out in Notion.

Process & Administrative Support

  • Maintain and improve project trackers, briefing templates, kickoff email formats, and status reports.
  • Support consistent use of established briefing, tracking, and naming-convention practices across projects.
  • Prepare materials for status meetings, WIP reviews, and post-campaign wrap-ups.

AI Tools & Adoption Support

  • Use AI tools day-to-day for content production support, campaign reporting, and workflow efficiency.
  • Assist in testing and rolling out AI-powered copywriting, image generation, and performance tracking tools as team guidelines develop.
  • Support the team's adoption of AI-driven ways of working by documenting workflows and sharing learnings.

Qualifications & Skills

  • 1–2 years of experience in marketing communications, project coordination, or creative operations (internship experience considered for strong candidates).
  • Basic understanding of content production, campaign execution, and multi-channel marketing.
  • Exposure to working with designers, copywriters, media, PR, or digital marketing teams.
  • Familiarity with Notion or similar project management tools (e.g., Monday.com, Asana, Trello) is an advantage; comfort with Microsoft Teams, Outlook, and SharePoint expected.
  • Strong organisational skills and ability to juggle multiple jobs, stakeholders, and deadlines.
  • Interest in AI-driven marketing tools; hands-on experience is a plus.
  • Good communication skills and a proactive, detail-oriented working style.
